ORGANIZATION:
Founded in 1947, Peninsula Volunteers, Inc ("PVI") is a community-based, non-profit
organization that develops and administers programs and services for the aging population
of the mid-peninsula region. PVI is one of the nation´s leading organizations in the provision
of services designed to support the welfare of senior members of our community.
PROGRAM:
Little House, The Rosyln G. Morris Activity Center has served the community
since 1949 and offers organized classes, lectures and workshops, daily lunch
programs, and Information and Referral services.
POSITION SUMMARY:
We are seeking a bright, energetic program coordinator to work in a vibrant, well-established
non-profit. The ideal candidate would be a professional who is interested in providing day-today
coordination and support of varied program activities. The coordinator must be flexible
and enjoy working on a wide variety of tasks in a fast paced environment. Reporting to the
Program Director, this is a key member of the department and requires interaction with staff,
volunteers and PVI members.
DUTIES and RESPONSIBILITIES:
• Assist Program Manager by providing logistical and administrative support for
programming and events
• Responsible for program registration process
• Responsible for room scheduling and reservations
• Manage all aspects of "My Senior Center" membership database system. This
includes updating room schedule, classes, membership database etc.
• Maintain accurate database and files for all classes, activities, instructors, and
service providers
• Coordinate all Little House and Peninsula Volunteer Inc. events including
Thursday night dance and member-only birthdays
• Responsible for the membership and non-member user system, including
database up-keep, member letters, payments, tracking, and distribution of cards
• Greet existing and prospective members, handling all membership
communications
• Process incoming deliveries and outgoing mail for Little HouseMaintain and
update administrative materials and other general office tasks
• Supervise and work collaboratively with volunteersRespond to routine
correspondenceSubmit monthly reports to the Little House Director
• Provide additional administrative support to LH programs under direction of the
Director and Program Manager 2
• Other duties as deemed necessary
SKILLS & REQUIREMENTS:
• Outstanding oral and written communication skills
• Strong attention to detail and a high degree of accuracy
• Superior organizational skills; Ability to multitask and prioritize
• Strong team player and excellent customer service skills. Ability to work with
internal and external parties on a professional level
• Proficiency in desktop publishing (Publisher, Photoshop). Database knowledge
including fundraising software
EDUCATION & TRAINING:
High school diploma or equivalent required. Some college or business courses, AA or
Bachelor´s degree preferred. 3 - 5 years relevant professional work experience in an
administrative position. Must be proficient with Outlook, MS Office Suite (Word, Excel,
PowerPoint) and desktop publishing (Publisher, Photoshop). Raiser's Edge or knowledge of
other fundraising software desirable.
HOURS: 7 hours per day, Monday – Friday
