Job Title Administrative Assistant
Duties:
- High level skill at Word, Excel and PowerPoint
- Able to use Visio or other process mapping software
- Can compose email correspondence appropriately and in good business form
- Able to communicate clearly and succinctly in both written and verbal forms
- Able to work cross-functionally with other Administrative Assistants
- Prepare office for VP-Finance and Senior Director each morning
- Discrete regarding sensitive and confidential information
- A positive attitude, cheerful towards work, desire to please others
- Willing to procure refreshments for departmental meetings
- The ability to bring a fresh perspective to all situations, but is also pragmatic
- Be proactive in asking for work in order to remain productive
- Mental capacity to learn new things
- Able to reserve facilities without error
- Maintain 2 manager's calendar's accurately and effectively
- Does not engage in discussions which may perpetuate the "grapevine"
- Prepare expense reports for VP and Senior Director
- Ability to order supplies in an efficient and timely manner
- Does not appear to be entrenched or set in their ways
- On balance, an overall plus to the organization
- A professional presence
Skills:
- Support department managers with periodic support for others
- Interact with external auditors as necessary
- Able to use various software systems, both internet and corporate
- Ability to use the Oracle system to perform various functions
- Accurately transcribe messages, both written and verbal
- Take minutes of meetings
- Be able to set up purchase orders
- Able to prepare an agenda in proper business form
- Appropriately greet and retrieve visitors
- Have good phone presence
- Able to use a label maker and develop a filing system
Education:
- Degreed from a four year college or equivalent
- 10+ years as an Administrative Assistant at a Fortune 500 Company
- A specialty in transcription, short-hand, business writing, organization
Location: - Mountain View, CA
Duration: - 6+ Months
